1. Confirm the legal supplier and factory identity
Record the contracting company name, manufacturing address, sales contact, payment beneficiary, and export entity. These details should remain consistent across the quotation, invoice, packing list, and contract.
2. Approve a model-matching sheet
The supplier should confirm carrier weight, oil flow, working pressure, hose size, tool diameter, bracket dimensions, and intended application. Keep the approved sheet with the order record.
3. Define the pre-shipment inspection
Agree on the inspected items before production: model identification, dimensions, appearance, fasteners, gas pressure where relevant, hydraulic or functional test, accessories, labels, and packing marks.
4. Order service parts with the first batch
A first order should normally include a practical service package. The exact quantity depends on installed population, local lead time, and service capability.
5. Clarify warranty exclusions and evidence
Ask what is covered, the warranty period, required maintenance records, claim evidence, response time, and which wear parts are excluded. Written rules prevent disputes later.
6. Verify packing and export documents
- Commercial invoice and packing list.
- Product and crate marks.
- Gross and net weight.
- Loading photos or container record.
- Certificate files required by the destination market.
7. Keep one traceable order file
Store the quotation, approved specifications, inspection report, test media, packing photos, bill of materials, and warranty terms under the same order number.
